This article is for managers and supervisors who use Messaging in Roubler to communicate with their teams and who may need to support employees with message visibility, notifications, and read-confirmation issues.
Before you start
Before using Messaging:
Confirm your organisation has enabled Broadcast Messaging in Business Settings and configured which roles can create messages.
- Make sure:
You are using a supported mobile app version (Messaging is available from mobile app v5.5+).
You have the required permissions to create and/or manage messages, as set by your internal Roubler administrator.
Ask your team to update the Roubler app from the Apple App Store or Google Play so everyone can see and respond to messages reliably.
How Messaging works
What Messaging is
Messaging (Broadcast Messaging) in Roubler is a built‑in communication tool that lets authorised users send one‑to‑many announcements and updates to employees via the Roubler web app and mobile app.
Key capabilities include:
Posting broadcast messages with text, images, and attachments.
Targeting messages to specific locations, sublocations, and/or individual employees.
Marking posts as Important or Pinned to keep them visible at the top of feeds.
Requesting Read Confirmation and tracking which employees have read the message.
Allowing or disabling comments and recording reactions.
Messaging is available on both:
Mobile app – via the Messages tile on the home screen.
Web app – via the Messages icon in the header next to your profile name.
Message feeds and tabs
- Feed tab – shows your newsfeed of all relevant messages, ordered by:
- Pinned posts at the top (oldest to newest).
- Then Important posts (newest to oldest).
Then all other posts in chronological order.
Action tab – shows posts where Read Confirmation is required, so employees can see what still needs their attention.
- All Messages – all messages you can see.
- Important – only posts marked as Important.
- Actionable – posts where Read Confirmation is required.
- Ordering is similar:
- Pinned at the top (oldest to newest).
- Important just under pinned (newest to oldest).
Then all other posts by date.
- Poster name and posting date.
- Recipients (locations, sublocations, individuals).
- Whether it is Pinned and/or Important.
- Message text, attachments, images, reactions.
- Comment options and read status for required‑reading posts.
Sending a new message (manager view)
As a manager with permissions to broadcast:
- Open Messages:
Mobile: tap the Messages tile, then tap New Message.
Web: click the Messages icon in the header, then click New Message / +.
- Choose recipients:
One or more locations, sublocations, and/or individual employees.
- Compose the message:
- Enter a clear subject/title (if available in your configuration) and message text.
Optionally include emojis, links, and formatting where supported.
Add attachments or images if needed (for example, policy PDFs, posters, screenshots).
- Set options as required:
Important – use for critical updates (e.g. safety, payroll deadlines).
Pinned – keeps the post fixed at the top for a period (for example, a campaign or onboarding series).
Request Read Confirmation – for must‑read communications (e.g. new policy or mandatory training).
Comments on/off – enable if you want feedback or questions directly under the post.
- Send the message.
If anything is missing, on‑screen validation will highlight the field to fix.
Recipients will then see the post in their Feed / All Messages (and in Action / Actionable if read confirmation is required).
Notifications
When you send a message:
Roubler can send push notifications to both devices and web, with different notification types for various post categories (for example, Important vs standard messages).
Employees can tap or click the notification to go directly to the relevant message in the Messages area.
As a manager, this means:
- Important announcements are pushed to staff rather than relying only on the internal feed.
If you enable Read Confirmation, you can track who has acknowledged the message and nudge those who haven’t.
Read confirmations and tracking engagement
For posts with Read Confirmation enabled:
- Employees see them in:
- Mobile: Feed and Action tabs.
- Web: All Messages, Important (if flagged), and Actionable.
- When an employee marks the message as read, the sender can:
- See aggregated read status.
- Identify who has not yet confirmed.
- Send reminders/nudges where needed (available in supported configurations).
This is ideal for must‑read content such as:
- Health and safety alerts.
- Policy changes.
- Critical scheduling or payroll changes.
Important and pinned messages
Message ordering is designed to keep key communications visible:
- Pinned posts:
- Sit at the very top of the feed.
- Are ordered oldest to newest among themselves.
Can be configured with a duration (for example, pinned for a set number of months); after expiry, they lose the “Pinned” icon and behave like normal historical messages.
- Important posts:
- Appear just under pinned posts.
- Ordered newest to oldest.
As more messages are sent, older posts (including previously pinned or important ones) move down the feed and eventually become historical context rather than front‑and‑centre announcements.
In some environments, end‑users cannot manually delete older broadcast messages from the feed. Where messages must be removed (for example, an out‑of‑date pinned post with incorrect content), this typically requires administrator‑level action or configuration, not manager‑level tools.
Frequently asked questions and troubleshooting
1. I can’t see the Messages tile or icon
Possible causes:
The Broadcast Messaging feature is not enabled for your organisation in Business Settings.
You are using an older mobile app version (feature is only available from v5.5+).
Your permission group does not include access to Messaging.
What to do:
- Ask your internal Roubler administrator or support team to:
- Confirm that Broadcast Messaging is enabled in Business Settings.
- Check your permissions for the Messages feature.
- Confirm your location/role is within the intended audience for Messaging.
Ensure your app is updated to the latest version via the app store.
2. My employees are not receiving message notifications
Check the following:
The message was sent to the correct recipients (locations, sublocations, or individuals).
- The post is visible in their Feed / All Messages.
- Device and browser settings:
- Their devices allow push notifications for the Roubler app.
Browser notifications are enabled where supported.
If notifications still don’t appear:
- Ask your internal IT or support team to review local device policies and notification settings.
Your internal Roubler administrator can confirm that Messaging notifications are enabled and behaving as expected in configuration.
3. What’s the difference between Feed/Action and All/Important/Actionable?
Mobile – Feed: everything you are allowed to see, prioritised by Pinned and Important posts.
**Mobile – Action**: only posts where **Read Confirmation** is needed; a personal “to‑do” list for messages.
Web – All Messages: all posts you can access.
- Web – Important: only posts flagged as Important.
Web – Actionable: posts that still require your Read Confirmation.
Use this explanation when helping staff understand where to find everyday updates vs must‑read actions.
4. Can I delete or unpin an old message?
In most cases:
Unpinning happens automatically when the configured pin duration expires; the post then behaves like a normal historical message and moves down the feed as new posts are created.
End‑users (including most managers) may not have tools in the UI to permanently delete broadcast posts. Where removal is essential (for example, incorrect or sensitive information), this usually requires administrator‑level or backend action.
If you believe a message must be removed:
- Ask your internal Roubler administrator or support team to review it and handle it according to your organisation’s governance and retention rules.
5. Employees say they “can’t find” a message
Help them check:
- Correct tab:
Mobile: Feed or Action (if read confirmation was requested).
Web: All Messages, Important, or Actionable as appropriate.
- Search:
Use the search area in Messages to look up keywords (for example, “roster change”, “policy”, “training”).
- Date and ordering:
Remind them pinned/important posts sit at the top, so older posts might be further down.
If the message still can’t be found, the sender should confirm:
- It was actually sent and not left as a draft.
- The recipient group included that employee’s location or profile.
6. How do I know if everyone has read a critical message?
For messages with Read Confirmation enabled:
- Track read status via the Action / Actionable views or via the message details.
- Use any available status or nudge options to remind those who have not yet confirmed.
Within your own team processes, you may also:
- Follow up in team meetings or 1:1s.
- Combine Messaging with other channels (e.g. physical noticeboards or email) where appropriate.
