This article is for employees who use Roubler to access their payslips and any other functionality, and who also use Roubler Messaging to communicate with their manager, HR, payroll, or other internal teams.
Before you start
Make sure:
- You already have access to Roubler and can see your usual employee options (such as payslips, rosters, or timesheets).
- You understand your company’s communication guidelines (e.g. when to message vs when to call or email).
Note: This guide does not cover how to log in to Roubler.
What is Messaging in Roubler?
Roubler Messaging allows you to:
- Receive important messages from your manager, HR, or payroll team
- Send messages to approved contacts within your organisation
- Keep work-related conversations in one place, linked to your Roubler profile
Messaging is intended for work-related communication only, based on your organisation’s policies.
Accessing Messaging
Once you are logged in to Roubler:
- Go to the main menu (this may appear as a menu bar or a menu icon).
- Look for Messaging, Messages, or an envelope/chat icon.
- Tap or click this option to open your Messaging inbox.
The exact label may vary slightly depending on your company’s Roubler setup.
Viewing your messages
In your Messaging inbox:
- You’ll see a list of conversations or message threads.
- Unread messages are usually highlighted or marked with a badge or bold text.
- Select a conversation to open it and read the full message history.
From inside a conversation, you can:
- Scroll up to view previous messages
- See who sent each message and the time/date it was sent
Sending a new message
To start a new message (where allowed by your organisation’s settings):
- Open Messaging.
- Select New message, Compose, or the “+” / pencil icon.
- Choose the recipient (for example, your manager, HR, or payroll contact).
- Type your message in the message field.
- Select Send.
Tips:
- Keep messages clear and professional.
- Include key details such as dates, shift times, or pay period if the message relates to payroll or rostering.
Replying to a message
- Open Messaging and select the conversation.
- Type your reply in the message field at the bottom.
- Select Send.
Use replies to:
- Answer questions from your manager or HR
- Confirm you’ve received and understood a communication
- Provide any requested information (e.g. clarification about hours worked)
Notifications for new messages
Depending on your organisation’s configuration, you may receive:
- In-app notifications when you’re logged into Roubler
- Email or mobile notifications for new messages (if enabled)
If you are not seeing notifications:
- Check your device settings (for app and email notifications).
- Ensure your contact details are correct and current in Roubler.
- Follow your workplace process to confirm which notification types are in use.
Good practice when using Roubler Messaging
- Use Messaging for work-related topics only (e.g. payroll queries, roster questions, shift changes, leave clarifications).
- Avoid sharing sensitive personal information unless your company specifically requests it via Roubler.
- Do not use Messaging for urgent emergencies; follow your organisation’s emergency or escalation process instead.
- Be respectful and professional at all times, in line with your company’s code of conduct.
Frequently asked questions and troubleshooting
1. I can’t see the Messaging option. What should I do?
- Your organisation may have disabled Messaging or limited who can use it.
- Contact your manager or internal support/IT/HR team to confirm whether Messaging is enabled for you.
2. I’m not receiving notifications when I get a new message.
- Check your device notification settings for the Roubler app (if you are using the mobile app).
- Confirm your email address and mobile number in Roubler are correct.
- Ask your internal support, manager, or HR/payroll team which notification types they use and whether there are any known issues.
3. I sent a message but haven’t received a response.
- Response times depend on your manager or HR/payroll team’s processes.
- If it’s urgent, use your organisation’s preferred escalation method (for example, calling your manager or contacting HR directly).
4. Can I message other employees directly?
- This depends on how your company has configured Roubler. Some organisations allow employee-to-employee messaging, others restrict messages to managers or HR/payroll.
- If you’re unsure, check with your manager or internal support team.
5. I think my messages are going to the wrong person or team.
- Double-check the recipient before sending new messages.
- If something has gone to the wrong person, contact your manager or HR/payroll team immediately and follow your workplace’s privacy/confidentiality guidelines.
6. The Messaging screen isn’t loading or I see an error.
- Try closing and reopening the Roubler app or browser tab.
- If possible, test on another device or browser.
- If the problem continues, report it to your internal support or IT team, including any error messages or screenshots.
