1. Before you start
You will need:
An active Roubler employee profile
Your Roubler login details (username and password)
Either:
The Roubler mobile app installed on your phone, or
Access to Roubler in a web browser on a computer
If you cannot log in, please refer to your company’s Roubler login instructions or contact your manager/HR for help.
2. Where to see your leave in Roubler
Roubler keeps all your leave information in one place on your Leave & Availability page. From here, you can:
See your current leave balances for each leave type
See past and future leave requests, including their status (pending, approved, declined, cancelled)
Create new leave requests or view the details of existing ones
The exact menu labels may differ slightly depending on your company’s configuration.
3. View your leave balance
3.1 On the Roubler mobile app
Open the Roubler app and log in.
Tap the menu icon (usually in the top-left or bottom bar).
Select Leave or Leave & Availability.
Scroll to the Leave balances section.
Review your available balance for each leave type (for example: Annual Leave, Sick Leave, etc.).
Note: Your available balance is managed by your employer and may be based on your local legislation, company policy, and payroll setup.
3.2 On Roubler desktop (web)
Open your browser and log in to Roubler.
From the main menu, go to Leave or Leave & Availability.
Look for the Leave balances area (often towards the bottom or right-hand side of the page).
Review your balance per leave type.
4. Apply for leave on the Roubler mobile app
Open the Roubler app and log in.
Tap the menu icon.
Tap Leave or Leave & Availability.
Tap Request leave or the + button (wording may vary).
Complete the details:
Leave type: e.g. Annual, Sick, Unpaid (options depend on your company’s setup).
Dates: select the start date and end date.
Full day or part day:
Choose full day if you are off for the entire shift.
Choose a custom time/part day if you are only away for part of a shift (e.g. half day).
Reason / notes (optional): add any details for your manager (for example, “Annual leave – family event”).
Attachments (if required): e.g. medical certificate, supporting documents.
Review the summary of your request (dates, type, hours or days).
Tap Submit (or Send for approval).
Your request will now show in your leave list with a status of Pending approval.
5. Apply for leave on Roubler desktop
Log in to Roubler in your web browser.
From the main menu, open Leave or Leave & Availability.
Click Request leave or a similar button (for example, + New request).
Complete the request form:
Leave type
Start date and End date
Full day / part day or specific times (if applicable)
Reason / notes
Attachments if required by your employer
Check the details are correct.
Click Submit.
The leave request will appear in your list with its current status.
6. View your past and upcoming leave
6.1 On the mobile app
Open the Roubler app and go to Leave / Leave & Availability.
Scroll through the list of leave requests.
Each request will show:
Leave type
Date range
Status (Pending, Approved, Declined, Cancelled)
Tap a request to view more details, including any manager comments.
6.2 On desktop
In Roubler, open Leave / Leave & Availability.
Use the filters or date range options (if available) to switch between:
Upcoming leave
Past leave
Click any row to see more details.
7. Leave request statuses
Common statuses you may see:
Pending: Your manager has not yet approved or declined the request.
Approved: Your leave has been approved and will be processed.
Declined: Your manager has rejected the request (check comments or follow up with them if needed).
Cancelled: The request has been cancelled (by you or your manager, depending on permissions).
8. Edit or cancel a leave request
Your ability to edit or cancel leave depends on your company’s settings and whether the leave has already been processed in payroll.
8.1 Edit a pending leave request
Go to Leave / Leave & Availability.
Find the Pending request you want to change.
Tap or click the request to open it.
If editing is allowed, choose Edit (or similar option).
Adjust the dates, times, leave type, or notes.
Save or Resubmit the request.
If you cannot see an Edit option, contact your manager to adjust the request on your behalf.
8.2 Cancel a leave request
Go to Leave / Leave & Availability.
Open the leave request.
If cancellation is allowed, choose Cancel or Withdraw.
Confirm that you want to cancel the request.
If the leave has already been approved and processed in payroll, your manager or payroll/HR team may need to handle corrections.
9. Frequently asked questions and troubleshooting
9.1 My leave balance looks wrong
Possible reasons include:
Recent leave has been approved but not yet processed in a pay run.
Your company has recently changed leave policies or accrual rules.
There is a delay between payroll processing and the balance updating in Roubler.
In many setups, leave balances update automatically with each payroll and appear on your Leave & Availability page.
What you can do:
Check again after your next pay run.
If it still looks incorrect, contact your manager or HR/payroll with:

The dates and type of leave you believe are incorrect.
9.2 I can’t see any leave types to select
If you cannot choose a leave type when creating a request:
Your employee profile may not be linked to the correct leave policies.
Your access or employment status may have changed (for example, if you are terminated or inactive, leave may be blocked).
What you can do:
Contact your manager or HR and let them know:
You cannot select a leave type.
Which device you are using (app or desktop).
Any error message you see.
9.3 I submitted leave but my manager didn’t get a notification
Your manager’s notification settings are controlled by your company. If they are not receiving leave emails:
Ask your manager to check notification settings or speak to HR/Payroll support.
You can also ask your manager to view your leave directly in Roubler under your employee profile.
9.4 My leave is not appearing in the payroll system
If your company uses an external payroll system (for example, SimplePay, Employment Hero, etc.), leave is usually sent from Roubler to payroll via integration once it is approved. If you notice that:
The leave shows correctly in Roubler, but
Does not appear correctly in the payroll system,
then this is most likely an integration or payroll configuration issue, not something you can fix yourself.
What you can do:
Report the issue to your manager or HR/payroll team.
Provide:
Your name and employee ID (if known).
The leave dates and type.
Screenshots from Roubler and (if possible) the payroll system.

If they confirm the issue is with Roubler itself, they can raise a ticket with Roubler Support via your company’s agreed process.
