This article gives employees a simple overview of how to clock in, clock out and record breaks using either the Roubler mobile app or an on‑site kiosk/tablet/iPad. Exact options may vary depending on how your employer has set things up.
Before you start
-
You must have an active Roubler account and be able to log in (username and password set during onboarding).
-
Mobile app clocking (if your employer enables it):
-
Install the Roubler app from the Apple App Store or Google Play and make sure your phone meets the minimum OS requirements (Android 7.0+ or iOS 12.0+).
-
Be ready to allow location access, and if required, camera access for clock‑in photos.
-
-
On‑site kiosk/tablet/iPad:
-
Your employer will have a Roubler Clock app or web clock set up on the device; you normally won’t log the device in yourself.
-
In most setups you’ll use your Roubler PIN and may be asked for a photo when clocking.
-
Option 1: Clocking in and out from the Roubler mobile app
Use this option only if your employer has enabled mobile clocking for your role.
-
Open the Roubler app and log in
-
Sign in using the username and password you set during onboarding.
-
-
Go to the Clock in/out tile
-
On the home screen, tap the Clock in/out tile.
-
-
Grant permissions (first time only)
-
The app may prompt you to allow location access; this is required if your employer uses GPS/geofencing for mobile clocking.
-
If your employer requires mobile clocking photos, you’ll also be asked to allow camera access.
-
-
Choose the correct location (if applicable)
-
If you work at more than one site, you can select which location you’re clocking into from the top‑right of the clocking screen.
-
-
Clock in, clock out, or manage breaks
- Tap one of the available actions:
- Clock in
- Clock out
- Start break
-
End break
- Tap one of the available actions:
-
Answer questions and/or take a photo (if required)
-
Your employer may show clock‑in questions (for example health/safety or checklist questions) which you must answer before the clocking completes.
-
If mobile clocking photos are enabled, your front‑facing camera will open; tap Take photo to capture your image before continuing.
-
-
Confirm the clock action
-
You’ll be asked to confirm the action to avoid accidental taps.
-
A timestamp of the completed action will display; tap Done to return to the home screen.
-
-
Shift rating (if enabled)
-
When you clock out, you may be asked to rate your shift (for example good/neutral/bad).
-
These ratings are used only in aggregate to understand overall trends, not to report on individual employees.
-
When you clock via mobile, Roubler records your clock times in Timesheets and stores your device ID and GPS coordinates to help confirm it’s really you and where you were when you clocked.
Option 2: Clocking in and out from an on‑site kiosk/tablet/iPad
Many workplaces use a shared tablet or iPad kiosk running the Roubler Clock app (or the web clock in a browser) so staff can clock in and out at a fixed location.
-
Go to the on‑site clock device
- Wake the screen if needed; you should see the Roubler Clock interface.
-
Identify yourself (PIN and/or photo)
-
In most setups, you’ll enter your Roubler PIN on the keypad to identify yourself.
-
The device may take a photo of you during clock‑in and clock‑out; these photos are stored securely and can be viewed only by authorised users who access related timesheets.
-
-
Choose your action
- After you’re identified, you’ll see options such as:
- Clock in
- Clock out
- Start break
-
End break
- After you’re identified, you’ll see options such as:
-
Select location (if shown)
-
If your employer allows employees to select a clock‑in location, you may see a location picker (for example a child/sub‑location under the main site). Choose the correct place you are working at.
-
-
Answer clock questions and complete photo (if required)
-
Your company may configure clock questions that appear when you clock in, clock out or start/end breaks; answer these as prompted.
-
If photo capture is enabled, look at the camera and wait for the kiosk to take your photo as part of the clock event.
-
-
Confirm and check the result
- Confirm the action if prompted; the kiosk will show that your clock in/out or break has been recorded, usually with a timestamp and/or confirmation message.
-
Your manager will then see this in Time & Attendance reports and Timesheets for payroll and attendance tracking.
After you clock
-
Every clock event (mobile or kiosk) is written into Roubler’s clocking history and time‑and‑attendance reports so your employer can track working hours, breaks and locations.
-
If clock questions are used, your responses are stored and can be reported on via dedicated clock‑question reports.
-
If clocking photos or facial verification are enabled, photos are stored securely in Roubler’s AWS‑hosted storage and used only as configured for attendance verification.
Quick troubleshooting tips
If you run into problems:
-
Mobile app:
-
Make sure you’re on a supported OS and the latest app version; update from the App Store/Google Play if needed.
-
If the Clock in/out tile is missing, mobile clocking may not be enabled for your role; speak to your manager.
-
If the clock screen seems “stuck” on a camera/photo page, check you’ve granted camera permissions and that you actually have an eligible shift to clock into at that time.
-
-
On‑site kiosk/tablet/iPad:
-
If the device shows a blank/white screen or won’t load, your manager may need to check the internet connection or restart the clock app/device.
-
If nothing seems to record in Attendance even though you clocked, the device may have been offline; it will normally upload once re‑connected, but your manager should verify this.
-
If you’re unsure which method you should use or something doesn’t look right, contact your manager or payroll/HR team so they can confirm your company’s clocking process and settings.
